Deposit Submissions

Who should deposit?

► University faculty, staff, and students who are interested in preserving their research, scholarship, and associated data.

►University members who are required by the University of Notre Dame or a granting agency to provide access to your produced research and related published or unpublished materials.

► University teams and collaborative groups producing data sets and research deliverables.

Cross-institutional projects with multiple authors can be deposited into CurateND. One author or contributor must meet the depositor requirements and be willing to steward the content. Contributors or owners who have left Notre Dame should submit a support ticket for any changes or updates to previously contributed content.

For university units, multi-departmental consortia, centers, institutes, or for uploaded items which require multi-editor access, please submit a support ticket to set up a Group Login.

Before you deposit, consider…

►  Is the institutional repository the accurate location for your deposit? Acceptable categories include:

  • Publications (including preprints)

  • Doctoral dissertations and master's theses

  • White papers, working papers, and technical reports

  • University produced publications

  • Data sets 

  • Conference presentations and posters

  • Artistic research outputs

►  Can you legally and ethically deposit?

All deposits involving research with human subjects must be approved through the Notre Dame Institutional Review Board prior to deposit.

CurateND does not — and cannot — accept works that contain Personally Identifiable Information or sensitive data as defined by the Office of Information Technology. In addition, depositors should be cognizant of other potential limitations on access to data, such as geographic locations, endangered animals, or otherwise sensitive materials.

Work does not have to be in the public domain if you own the copyright or have approval from the intellectual rights holder. You will have an opportunity to assign a license. If you have questions about how to obtain permission to deposit in your home institution's IR, please contact the Hesburgh Library Copyright Team.

CurateND does not accept official University records, as defined in the University’s Records Management and Archives Policy. Please contact the University Archives for further assistance.

►  Do you have your deposit in a sustainable file format?

While CurateND (with few exceptions) accepts most electronic file formats, we recommend the following sustainable file formats to ease future migration and reduce the risk of bit rot and data loss.

  • Text: pdf-a

  • Images: jpeg 2000 and tiff

  • Video: .mov, .avi

  • Audio: .wav

  • Databases: .csv

  • Additional Formats recommended by the Library of Congress: Open Document Type files

►  Do you have appropriate descriptive information about your deposit?

  • You are responsible for submitting appropriate descriptive metadata with your deposit. If you have questions about this, contact the Digital Repositories Librarian.

  • We recommend an English translation for all foreign language deposits. We have included the most widely-used foreign languages in our dropdown menu, but if you need to include a language not listed please please submit a support ticket. 

  • It is strongly recommended that you name your files with human-readable identifiers. We recommend titles with file date, or author’s last name with file date. Example: DataMetricsonPlants2023.jpg or Smith2016.pdf.

►  What is the process and time frame for a typical deposit?

  • All deposits are reviewed by a data curator for accuracy and complete description. 

  • In most cases individual users should expect to receive curation feedback or approval within 2 business days after submission. 

  • For larger deposits the time frame may be longer.
